Calendar

Calendar is your personal schedule inside Vitae. It merges interviews, client meetings, and any time from a connected Google or Microsoft calendar into a single feed, so you always see your real availability in one place. Calendar is available to every user; you do not need a specific product module turned on to use it.

How do I open Calendar?

  1. In the left sidebar, click Schedule under the Calendar section.
  2. This opens the Calendar grid with Today, Week, Day, and Month view toggles in the toolbar, plus Today, back, and forward controls to move around the calendar.

What are the four views?

Calendar has four views, each its own page:

ViewWhat it shows
ScheduleThe grid itself: your interviews, client meetings, and connected-calendar time, switchable between Today, Week, Day, and Month.
OverviewYour daily command centre: today’s schedule, a five-day coming-up strip, tasks due today or overdue (completable inline), and alerts for schedule conflicts and (on ATS-enabled organizations) new applicants.
TasksYour task list.
ActivityA log of recent activity on your account.

If nothing is on your calendar for the period you are viewing, Calendar shows an empty state with a New meeting button (and, on ATS-enabled organizations, a Schedule interview button) so you can add something right away.

How do I book a meeting from an open slot?

  1. In Week or Day view, click an empty slot on the grid. In any view, you can also click New meeting in the toolbar.
  2. The New client meeting dialog opens, pre-filled with the date and time you clicked.
  3. Fill in a Title, and confirm the Date, Start time, and Duration.
  4. Under Invite attendees, search your CRM contacts and check the ones to invite, or add someone by email if they are not in the CRM yet.
  5. If the time overlaps something already on your calendar, a warning lists the conflict. You can still book the meeting.
  6. Click Book meeting.

If you have a calendar connected, the invite sends from that connected calendar and the meeting is recorded in Vitae. If you do not have one connected, the dialog warns that invites will not be sent and the meeting is only recorded in Vitae, with a link to connect one.

Where do I manage my connected calendars?

Connected calendars live under Personal > Integrations > Calendars, the same page used for every calendar connection in Vitae. See Integrations for the full walkthrough of connecting or disconnecting Google or Microsoft.

Tip: If you have not connected a calendar, Calendar shows a Connect a calendar notice with a shortcut straight to this page. Vitae interviews and meetings still work without a connection; you just will not see outside busy time or get automatic invites.
